Public Services and LMIG Assistant

The Ehrman Medical Library of New York University School of Medicine seeks an experienced administrative assistant to support the work of two busy library departments.

Principal Duties and Responsibilities:
Serve as the Assistant for the Public Services and Library Medical Informatics Group, working first for the Associate Director of Public Services and the Associate Director of Systems, and secondarily for the librarians and management staff of both departments. Responsibilities include:
  • Monitors affiliated libraries’ budgets through the use of FAME.
  • Monitors staff monthly time off reports and reporting to supervisors if there are discrepancies.
  • Compiles, analyzes and maintains statistics in master spreadsheet including user type surveys, educational and search statistics. Prepares quarterly reports for the Associate Director and Director.
  • Contributes to the online Faculty Bibliography database project as directed.
  • Orders supplies, mail pick-up and delivery, faxing and photocopying and routine correspondence.
  • Maintains Public Services common work areas in orderly fashion

In addition, the position will be responsible for assisting in the Public Services functions of the Library including instructional support, publicity and publications and staffing the Circulation Desk.

  • Generate weekly service desk staffing schedules
  • Staff the Circulation desk as needed by the department.
  • Handle Library class registrations, follow-up emails, maintain handouts and generally offer support to instructors
  • Format, print and distribute the library’s newsletter, the Ehrman Report.
  • Special projects as assigned including statistical analysis, review of library materials and lists, and assisting with Library Information Fairs and other marketing initiatives

Minimum Qualifications:
Bachelor’s degree and 1-3 years’ relevant work experience or the equivalent is required. High level of proficiency with standard computer applications (Word, Excel, PowerPoint, Access), and the internet necessary. Automated library systems experience desirable. Ability to organize work, set priorities and meet deadlines. Excellent communication skills and capacity to work in a frequently changing team environment is essential. Demonstrated attention to detail and strong customer service skills required. Experience in graphic design or publication production preferred.

Salary:
Library Assistant IV. $32,000 - $34,000, depending on experience. Excellent benefits and tuition remission at NYU.
